Buildium Review (2026): Costs, Fees and Who It’s For

Buildium is the software we'd pick once you pass about 20 units or start managing property for someone else. Essential costs $62 a month and holds that price up to at least 40 units, with full accounting and owner portals. Under 10 units, $744 a year plus $99 for each business bank account is hard to justify when free apps handle rent and screening.

Buildium review: who it suits and who should skip it

Buildium is a full property management system from RealPage. It handles leasing, screening, leases, rent, maintenance and proper accounting, with owner and resident portals. It’s built for property managers and larger landlords, but its entry plan is priced low enough to interest a self-managing owner with a growing portfolio.

It suits:

  • Landlords with roughly 20 to 40 units. Essential stays at $62 a month across that range, which is $1.55 to $3.10 per door.
  • Anyone who manages property for other owners. Owner portals and owner reporting are included, and the accounting is built for keeping each owner’s money separate.
  • Owners who want their books and their rent in one place, with bank reconciliation, rather than a free rent app plus a separate bookkeeping tool.

Skip it if you have one to five units and manage only your own property. You’d pay $744 a year, plus bank account fees, for accounting depth a free app and Stessa give you for nothing. Skip it too if live phone support matters to you and you only want Essential: phone support starts on Growth at $192 a month.

How each job works in Buildium

These descriptions come from Buildium’s pricing page and help resources and from recurring themes in public reviews. We’ll add screenshots and timings after our own account test.

Listing and syndication

You publish vacancies from the unit record, and Buildium syndicates them to rental listing sites. Listings link to an online application.

Applications

Applicants complete the application online. Buildium’s pricing page doesn’t list an application fee, so the fee you charge (if any) is your call, within your state’s limits. Several states and cities cap application fees or require them to match the actual screening cost.

Screening

Reports cost $17 if you pay and $35 if the applicant pays. Growth and Premium add an enhanced screening option at $20. The Fair Credit Reporting Act requires the applicant’s written consent before you pull a report and an adverse action notice if you deny them based on it. Apply the same written criteria to every applicant.

Lease and e-sign

Leases can be signed electronically. Essential charges per e-signature; Growth lowers that cost and Premium makes e-signatures free. Check the current per-signature rate on the pricing page, because reviewers name eSign fees as one of the charges that add up.

Rent collection and payouts

Residents pay through the resident portal or app, by EFT (bank transfer) or card. Incoming EFT is $2.35 per payment on Essential, $1.35 on Growth, and free for 12 months then $0.60 on Premium. You choose whether you or the resident pays it. Cards cost 2.99%, usually paid by the resident; on a $1,650 rent that’s $49.34.

Rent lands in a business bank account you connect to Buildium. On Essential, setting up each one costs $99. Many landlords use two accounts, one for operating money and one for security deposits, and some states require deposits to be held separately. Two accounts on Essential means $198 before you collect a dollar.

Late fees

Buildium can post late fees automatically after the grace period you set. Make sure the amount and timing match both your lease and your state’s late-fee rules.

Maintenance

Residents submit requests through the portal. You create work orders, assign vendors and track status. Paying a vendor by EFT costs $0.99. Premium adds free inspections.

Accounting and reports

This is Buildium’s strength. Every plan includes a general ledger, bank reconciliation, owner statements, and standard and bulk reporting. Growth adds reporting automation and business analytics. A few reviewers say report customization is limited and the help resources could be better, but for a 20-unit owner, the accounting is a clear step up from any free app.

What Buildium costs at 1, 5 and 20 units

The table uses Essential on monthly billing with one business bank account, and assumes each resident pays a $1,650 rent by EFT every month. The EFT column shows the yearly cost whoever pays it.

Units Subscription per year Bank account setup First-year total EFT fees per year
1 12 x $62 = $744 $99 $843 12 x $2.35 = $28.20
5 12 x $62 = $744 $99 $843 60 x $2.35 = $141
20 12 x $62 = $744 $99 $843 240 x $2.35 = $564

At 1 unit, that’s $70.25 a month in the first year for one door. A free app does the rent and screening for $0.

At 5 units, $843 works out to $14.05 per door per month. Still steep unless you want Buildium’s accounting.

At 20 units, the first year is $843, or $3.51 per door per month. If you absorb the EFT fees instead of passing them on, add $564, for $1,407 a year or about $5.86 per door. Annual billing cuts the subscription to $669.60.

Growth rarely pays for itself on fees at 20 units. It costs $2,304 a year, $1,560 more than Essential. It saves $1 per EFT payment ($240 a year at 20 units) and includes 10 free bank accounts, so on fees alone it doesn’t close the gap. You’d buy it for phone support and enhanced screening.

Signs you’re ready to move up to Buildium

Most landlords start on a free app and move to Buildium later. These are the usual triggers:

  • You pass about 15 to 20 units. At that point $62 a month is $3 to $4 per door, and the time you save on bookkeeping is worth more than that.
  • You start managing for someone else. A relative’s rental, a partner’s duplex, a client’s fourplex. Once you hold other people’s money, you need owner statements and books that keep each owner separate. In many states, managing for others also brings licensing and trust-account rules; check yours before you take on a client.
  • Your accountant asks for a general ledger. Income and expense lists stop being enough when you have several entities or a lender asking for property-level financials.
  • You want vendors paid from the same system. Paying contractors by EFT at $0.99 each, with the cost posted to the right property, beats reconciling card statements.

What to have ready before you set up Buildium

Setup is where small landlords spend the most time on any full accounting platform. Before your trial starts, gather:

  • Every property and unit, with addresses and unit numbers.
  • Each current lease: tenant names, start and end dates, rent, and deposit held.
  • Opening balances: who owes what as of the day you switch.
  • The bank accounts you’ll connect, remembering that each costs $99 to set up on Essential.
  • Your late-fee policy and grace period, so you can set them once.

Starting at the beginning of a month, or better a quarter, keeps the opening balances simple.

Essential, Growth or Premium

Most landlords with up to 40 units should start on Essential. Here’s what the higher plans add for the money.

Growth ($192 a month, $130 more than Essential) adds customization, reporting automation, enhanced screening, lower eSign and EFT fees, business analytics and live phone support. It also includes 10 business bank accounts, which saves up to $990 in setup fees compared with paying $99 each on Essential. That matters to a management company with an account per owner; it rarely matters to someone managing only their own units.

Premium ($400 a month) adds free inspections, free eSignatures, free incoming EFT for the first year, Buildium’s full AI and automation tools and its Open API. It’s built for firms running hundreds of units with staff.

A rule of thumb: if your reason for upgrading is to cut fees, do the arithmetic first. At 20 units, Growth saves $240 a year in EFT fees and costs $1,560 a year more. Upgrade for phone support or for bank accounts you actually need.

Support and reliability

Essential gets written and online support. Live phone support starts on Growth. The most common complaints in public reviews are about price: reviewers say Buildium has raised prices repeatedly since the RealPage acquisition, and that transaction fees (EFT, bank setup, eSign) add noticeably to the base subscription. Another theme is that help articles and report customization lag behind what users expect from a paid product.

How Buildium compares

DoorLoop has more modern extras (unlimited users, AI agents, a company website) but a $199 monthly minimum on its cheapest plan. Under 40 units, Buildium Essential is $1,644 a year cheaper.

AppFolio starts at 50 units with a minimum spend and quote-based pricing. It’s aimed at professional managers with hundreds of doors.

Rentec Direct is a cheaper full-accounting option for small portfolios, with a $25-a-month Starter plan for up to 10 properties.

For 1 to 10 units, TurboTenant, RentRedi and Avail cover the day-to-day jobs for $0 to $144 a year. Pair one with Stessa for bookkeeping, then move to Buildium when your unit count or your owners’ needs outgrow that setup.

The cost gap is worth stating plainly. At 20 units, a free rent app plus Stessa’s free plan costs you $0 a year, with tenants paying $2 to $2.50 per ACH payment. Buildium Essential costs $843 in the first year with one bank account. What the $843 buys is a single system for rent, vendors, owners and books, with a general ledger your accountant can work from. If you manage only your own units and your taxes are simple, the free setup is enough. If you’re adding owners or entities, Buildium is the step up we’d take.

Questions landlords ask

The questions we get most, each answered in a paragraph.

How much does Buildium cost per month?

Essential is $62 a month on monthly billing, or $55.80 a month billed annually (10% off). Growth is $192 a month and Premium is $400. Buildium's calculator shows Essential at the same $62 at 20 and at 40 units. On top of the subscription, Essential charges $2.35 per incoming EFT payment and $99 to set up each business bank account.

Is Buildium worth it for a small landlord?

At 20 units and up, usually yes. $62 a month across 20 doors is $3.10 per door, and you get accounting, owner and resident portals, and bank reconciliation that free apps don't offer. At 1 to 5 units it's harder to defend. You'd pay $744 a year for features a free app plus Stessa covers for $0.

Who pays Buildium's EFT fee, the landlord or the tenant?

You decide. Buildium lets you charge the incoming EFT fee to yourself or to the resident. On Essential it's $2.35 per payment, $1.35 on Growth, and free for the first 12 months on Premium (then $0.60). Card payments cost 2.99%, which is usually passed to the resident. Paying vendors or owners by EFT costs $0.99 each.

Does Buildium have a free plan?

No. Buildium offers a free trial, then every plan is paid. If you need free software for a handful of units, TurboTenant, Avail and Innago all have free plans that cover listing, screening and rent collection, funded by tenant and applicant fees. Stessa and Baselane offer free bookkeeping.

How much is tenant screening on Buildium?

$17 per report if you pay, or $35 if the applicant pays. Growth and Premium add an enhanced screening option at $20. The landlord-paid price is one of the lowest of any tool we track, which helps if you prefer to screen only your top applicant and cover the cost yourself.
